Getting a quote
Use one spreadsheet row per SKU with the artwork filename, label dimensions, quantity and container type. Flag shared materials and finishes, and identify any designs that need separate packing. This reduces ambiguity when reviewing a bulk order.
Ask for separate options for stock selection, finish combinations and quantities per design. Identify the visual features that must stay, such as foil placement or opacity. Review any proposed substitution on the actual container before approving it.
Provide the date labels must reach your filling or packing site, not only a requested dispatch date. Include time for proof review, any application trial and receiving checks. Ask for a proposed schedule with approval milestones before committing to the launch plan.
Keep the face stock, adhesive, liner, finished size, print coverage and finish consistent. Compare the quantity per SKU and agreed packing format as well. A lower unit price may reflect a different construction rather than an equivalent label.
Share expected reorder quantities, SKU changes and the intended purchase frequency. Ask which artwork references, material specifications and approved samples will be used for repeat orders. Confirm pricing and material availability for each purchase rather than assuming they remain unchanged.
List the trial quantity and intended bulk quantity separately, together with the purpose of the trial. State whether you need to assess appearance, adhesive performance or machine application. Request confirmation of the trial scope, charges and effect on the production schedule.
Artwork & proofing
Assign a unique filename and revision to each SKU, then keep an approval list that matches the order. Nominate one person to confirm the final proof. Clearly withdraw superseded files so an earlier version is not mistaken for the approved artwork.
Provide separate, clearly named layers for each finish and show their intended positions. Ask for a review of fine lines, small text and registration limits. Confirm the finish color and the proof or sample used to approve the result.
Maintain one approved text file and a separate artwork reference for each language or market. Check that every SKU has the correct version before proof approval. Buyers should arrange the necessary translation and market-specific wording review.
Identify the areas that should remain transparent and the areas that need an opaque white base. Supply a separate white-ink layer or request the required setup instructions. Check the proposed appearance against the container color and contents before approval.
Provide the final encoded data and confirm who is responsible for checking it. Review code size, contrast, quiet zones and the effect of the finish. Agree whether physical scan verification is required on the finished label and actual container.
A screen proof can show layout, text and finish positions, but it cannot establish adhesive performance, tactile feel or the appearance of foil under real lighting. Identify these priorities when requesting a sample and agree what the sample is intended to demonstrate.
Production & quality
Run the proposed roll construction on the intended labeling equipment and container. Check dispensing, label position, edge lift and any issues at the operating speed. Record the settings and trial conditions so changes can be reviewed with the supplier.
Describe the liquid, contact duration, temperature and handling involved. Distinguish occasional splashes from immersion or repeated wiping. Agree practical acceptance criteria for print readability, surface damage and adhesion instead of relying only on the word waterproof.
Request a packing identification plan that maps each roll or bundle to its SKU, artwork revision and quantity. Consider carton-level identification where several designs ship together. Confirm the format before production so it fits your receiving workflow.
Share the container diameter, material and flexibility, including any taper or coating. Tight curves and repeated squeezing can affect conformability and edge adhesion. Evaluate the proposed construction on filled containers under representative handling conditions.
Identify the critical checks for your order, such as artwork version, dimensions, print legibility, finish placement and roll identification. Agree the reference proof or sample and any required inspection records. Do not assume an unstated tolerance or inspection standard applies.
Ask for proposed changes to the face stock, adhesive, liner or finish to be identified before approval. Review whether the change affects appearance, dispensing or application performance. Agree whether another sample or trial is needed before releasing the revised construction.
Payment & delivery
Match the legal buyer details, purchase-order reference, SKU quantities and specification revision to the agreed quote. Review payment milestones, delivery terms and the destination. Resolve differences in writing before treating the order as confirmed.
Send the receiving company, site contact, booking requirements and any required purchase-order or SKU references. Confirm who can approve delivery changes. Share roll and carton identification requirements with both the label supplier and the receiving site.
Ask for storage guidance for the actual label construction, including temperature, humidity, packaging and recommended use period. Plan stock rotation around your consumption schedule. Avoid assigning one storage life to all adhesives and face materials.
Describe the quantity needed for the first release and the requested timing for the balance. Ask whether split production or split dispatch is practical. Confirm any additional packing, handling or freight charges before approving the arrangement.
List the documents your receiving team or freight provider needs, such as the invoice, packing list and agreed inspection records. Confirm availability and required details before shipment. Material or certification documents must relate to the relevant scope and cannot be assumed for every order.
Record the purchase-order reference, SKU, carton or roll identification and affected quantity. Photograph the issue and keep representative labels and packaging. Separate affected stock while the issue is reviewed against the approved specification and agreed order terms.
